Cutting an 878-day EPR migration data quality backlog down to 35 for Lewisham and Greenwich NHS Trust

The challenge

Lewisham & Greenwich NHS Trust approached our Digital Productivity team with a large data quality project which they knew could be automated. Timescales were aggressive and the work highly repetitive, and if completed manually it would cause a significant manual burden to achieve.

Our approach

Other teams in the Trust were already using the Digital Productivity Platform, so it was a natural progression for our team to work with the EPR migration programme to design a process to deliver this project swiftly and safely. Ensuring adherence to strict governance requirements, the process was tested thoroughly and signed off for live use.

Four DPP digital workers then ran the process over a seven-day operation, cutting average handling time per record from 7 minutes under manual processing to 2.6 minutes.

The impact

  • The full workload of 45,143 records was completed in 35 days, rather than the 878 days manual processing would have taken, with a 2.5% system exception rate.
  • It cost £16,000 to develop and test the process, and returned a £56,000 net saving for this single project.
  • 3,284 hours of staff time were released for higher value work.

What our clients say

‘This work is a strong example of how partnership working, robust governance and intelligent automation helped support our RiO to Epic migration programme, delivering significant efficiency benefits whilst maintaining data quality and safety.’

Steven Thorndyke, Director of IT, Lewisham and Greenwich NHS Trust

‘It was wonderful working with you and to be honest, it never felt like we were part of different teams. I hope our paths will cross again and we’ll have chance to work with each other in the future. Thank you once again for your perseverance, your tremendous amount of patience and for all the hard work, I wish you and your team best for the future.’

Megha MacWan, Senior Information Systems Developer, Lewisham and Greenwich NHS Trust
