Filing Lab Results
Logs into EMIS Lab Reports and reads results. Files normal results automatically and flags abnormal results for GP review.
Why it matters
Your GPs spend their time only on the results that need a clinical decision. Routine results are filed without taking up clinician or administrator time, while abnormal results reach a GP for prompt review. Results are turned around faster.
Registering New Patients
Reads eforms from a dedicated inbox, validates fields, creates the EMIS patient record, and sends a welcome SMS and acknowledgement email to the new patient.
Why it matters
New patients get confirmation that their registration has gone through, without needing to phone the practice to check. Online forms reach EMIS without staff retyping them, and every field is checked first, so new records start out complete and accurate.
Diabetes Birthday Bot
Reads diabetes patient data and uses an algorithm to determine which tests require review. Sends a text message inviting the patient to contact the practice for the appropriate tests.
Why it matters
Every diabetes patient due a review is prompted to arrange their annual checks, without staff working through recall lists. In England, only 58.2% of people with type 2 diabetes had all eight recommended care processes recorded in 2024/25 (National Diabetes Audit).
Prescription Confirmation Texting
Downloads an EMIS report, logs into Accurx, and sends the patient a text message confirming their prescription.
Why it matters
Patients get confirmation of their prescription without phoning the practice to check, which keeps phone lines free for people who need to speak to someone. Every patient gets the same message, with no staff time spent sending it.
Clinical Secondary & Community Care
Antenatal Self-Referrals
Retrieves web forms from a dedicated inbox, checks for the patient record on Cerner, adds the referral, and records details in the Consent Management system.
Why it matters
Self-referrals reach the patient record promptly, helping your maternity team offer a booking appointment by 10 weeks of pregnancy, as NICE recommends. Staff no longer retype each form into two systems, so referrals do not wait for someone to be free.
Careflow Discharge Planning
Extracts SQL data, logs into Careflow, searches for or creates the patient proforma, and populates it with a complete discharge data set.
Why it matters
Discharge teams have each patient’s discharge information already in place, so paperwork is less likely to hold up someone who is ready to go home. Staff spend their time arranging the discharge rather than gathering data from different systems.
Outpatient Clinic Outcome Process
Logs into Allscripts to collect patient outcomes, updates Silverlink PAS to DNA, discharge, or rebook, and creates follow-up appointments and letters.
Why it matters
Every clinic appointment has its outcome recorded and acted on, so patients are less likely to be lost to follow-up and your waiting list reflects who is still waiting. Clinic staff no longer copy outcomes from one system to another.
Radiology Plainfilm Booking
Processes patients from the ‘Request’ worklist, schedules the appointment within the diary, sends the letter to print, and creates an output report.
Why it matters
Routine X-ray requests are booked as they come in, so the worklist does not build up and patients receive a date sooner. Booking staff can concentrate on urgent and complex requests, with a report of everything booked.
Workforce HR & Workforce
ESR Trac Vacancy Link
Takes an in-scope list of adverts from Trac, creates the vacancy in ESR, and links back into Trac, allowing the applicant interface to work seamlessly between the two systems.
Why it matters
Each vacancy exists in both Trac and ESR from the start, so offered candidates move into ESR without delay and records stay matched. Recruitment teams no longer key the same vacancy into two systems, removing a potential source of errors.
Pre-Hire HPAN & Professional Registration Checks
Triggered after a Conditional Offer Letter. Checks the Professional Body and HPAN websites, screenshots findings, and saves them back into the applicant folder while updating Trac status.
Why it matters
Professional registration and alert notice checks are completed and evidenced before anyone starts, as NHS Employment Check Standards require. Every check is run the same way, so you have an audit trail for each appointment.
Trust ID Invites & Downloads
Triggers the Trust ID invite upon conditional offer, tracks applicant responses, and automatically downloads verified ID documents directly into the employee file or Trac.
Why it matters
Identity checks start as soon as an offer is made, and applicants are chased automatically, so checks are less likely to delay a start date. Verified documents are filed ready for audit, which matters now that penalties for employing someone without the right to work rose to as much as £60,000 per worker in February 2024.
Applicant Zip File Downloads
Uses an in-scope Trac report to safely download and back up finalised applicant records into e-folders or shared drives before they fall off the system.
Why it matters
You keep a complete recruitment record for every applicant, long after Trac stops holding it. Records are saved the same way every time, ready when you need them for an audit.
Corporate Finance & IT
Invoice Management
Reads a dedicated inbox, filters out non-invoice emails, validates incoming invoices, and automatically routes them to the scan station.
Why it matters
Invoices reach the scan station as they arrive, helping your finance team pay suppliers within the 30 days public sector bodies are expected to meet. Staff no longer sort the mailbox by hand, and invoices are checked before they go any further.
Emailing PO Receipting Reminders
Logs into NEP, securely downloads the open PO report, and proactively emails assigned contacts with PO details to prompt receipting.
Why it matters
Goods are receipted sooner, so fewer invoices sit on hold waiting to be matched to a purchase order and suppliers are paid on time. Assigned contacts get a reminder with the details they need, without finance staff chasing each one.
Debt Reminder Letters
Logs into NEP to download aged debt reports, compares against previous months, separates data per client, and automates email reminders to each.
Why it matters
Money owed to your trust is chased consistently every month, helping bring income in sooner. Each client receives a reminder showing only their own outstanding debts, without finance staff preparing and sending them one by one.
New Starter IT Provisioning
Downloads the Trac start date report, checks for existing accounts, creates Windows accounts, assigns NHSmail, links network drives, and emails the line manager, all triggered automatically.
Why it matters
New starters can log in and get to work from their first day, without waiting for accounts to be set up. IT staff no longer create each account by hand, and duplicate accounts are avoided.
